Thank you for your interest in hosting a third-party fundraising event to benefit Midwest Honor Flight. These types of fundraisers assist in raising critical funds for our mission, and we are grateful for your support. The information and form below will help all of us make more flights possible for our local Veterans - thank you!
A third-party fundraising event is any activity by a non-affiliated group or individual, where Midwest Honor Flight has no fiduciary responsibility or involvement in the fundraiser. These fundraisers are hosted by an outside party who wishes to hold a promotion, event, activity, or sale to benefit Midwest Honor Flight.
The following guidelines have been developed to protect you, the host, and Midwest Honor Flight.
THIRD-PARTY FUNDRAISER GUIDELINES AND AGREEMENT
FINANCIAL & LIABILITY
Host is responsible for all expenses related to the fundraiser and assumes responsibility for any debts incurred, including but not limited to liability insurance and necessary permits.
Host is responsible for complying with all applicable local, state, and federal regulations.
Host agrees to indemnify and hold harmless Midwest Honor Flight from any and all third-party claims made in connection with the event.
A donation is fully tax-deductible when it is made directly to Midwest Honor Flight - this includes sponsorships and donations for the event.
It is requested that all donors and sponsors to the fundraiser be recorded and passed along to Midwest Honor Flight within 30-days of the fundraiser. This includes the donor’s full name, business name if applicable, and mailing address. This is so a donation letter can be mailed out.
Checks should be written out to Midwest Honor Flight directly and sent to: PO Box 22; Sioux Center, IA 51250 within 30-days of the fundraiser's conclusion.
MARKETING & PROMOTION
Host is responsible for all graphic design, printing, postage, advertising and promotion expenses of the fundraiser. If assistance in the design process is requested, please reach out to Aaron at aaron@midwesthonorflight.org. We will do our best to assist but please give us enough time, especially during flight season, to work with your organization on the graphics.
Midwest Honor Flight is unable to provide our database of supporters and/or donors for your fundraiser.
Any use of the Midwest Honor Flight logo or name in any/all event promotion must be approved by our CEO (aaron@midwesthonorflight.org) at minimum two weeks prior to printing or publishing, in addition to, all publicity and/or promotional materials referencing Midwest Honor Flight.
The fundraiser must clearly state its name and then “benefiting Midwest Honor Flight” or something similar. The activity/event must list the individual or group associated with organizing the event.
Any products, sponsorships, or other item(s) sold at or in connection with the fundraiser must be noncontroversial in nature and align with the mission of Midwest Honor Flight. Examples of non-compliant endorsements include, but not limited to, any political candidate, any political organization, and any activity which promotes violence or violent behavior.
Once this application is complete in full, approved and event details are final, and any approval of artwork has been returned, Midwest Honor Flight will then add the fundraiser to our Upcoming Events page on our website and post on our Facebook page.
ADMINISTRATION
Host is responsible for all logistics of the fundraiser not limited to: soliciting participation and sponsors, registration for the event, compiling RSVPs, pre, day of, and post-action items, selling tickets, planning meetings, etc.
Host will provide any and all volunteers for the fundraiser not limited to planning team members, pre, day of, and post-event volunteer needs.
